The client.

Havens Community Cars is a volunteer driver charity registered with the Community Transport Association. They have a team of 25 drivers supporting over 500 local residents who do not have access to private transport and are unable to use public transport.

The challenge.

Havens Community Charity faced a number of challenges including the need for an easy booking and driver allocation system but also the need to manage cancellations, outstanding payments and the ability to check driver documentation including MOTs and insurance documents. An additional challenge was involved in applying for important grant funding for the charity which meant compiling data from spreadsheets about the number of members from different post codes or frequency of use, all of which was laborious to work out and had a risk of user error.

The solution.

CmdShiftR designed a booking and information software package that is scalable and adaptable. It produces easy-to-read reports about various aspects of the impact of the car scheme and automatically compiles data about members and the scheme’s operations. The software also has a traffic light colour coding system providing an at a glance view of a driver’s MOT or insurance documents, any outstanding payments or cancellations and whether a journey is waiting for the allocation of a driver. The system also makes calculating volunteer expenses easy at the end of every month.

The results.

The result is a quicker, efficient and more reliable system, that is easy to use, reduces the risk of error and does away with the need to spend hours collating data from spreadsheets. It’s made applying for grants easier and even gives volunteers recognition for reaching milestones – for example 25 journeys completed.
